Sales Call Follow-up

Draft a follow-up email and CRM notes from a sales call transcript in seconds.

Goal

Automatically extract key insights from a sales call transcript and produce a professional follow-up email and structured CRM notes ready to send and log.

Trigger

Invoke immediately after a sales call when you have a raw transcript ready to process.

Steps

  1. 1

Analyze the sales call transcript below and identify the prospect's name, company, role, core pain points, objections raised, and expressed interests: $transcript

    • Prospect name, company, and role are identified
    • At least one pain point or need is captured
    • Any objections or hesitations are noted

  2. 2

Identify all commitments, next steps, and follow-up actions agreed upon during the call — including who is responsible (rep vs. prospect) and any deadlines or timelines mentioned.

    • All action items are listed with clear ownership
    • Any agreed-upon deadlines or follow-up dates are captured
  3. 3

Draft a concise, personalized follow-up email from the rep to the prospect. The email should: open with a warm recap of the call, highlight the prospect's stated needs, summarize next steps, and close with a clear CTA (e.g., calendar link, doc to review, or decision deadline).

    • Email references specific details from the call (not generic)
    • Next steps and CTA are clearly stated
    • Tone matches a professional B2B sales context
  4. 4

Write structured CRM notes summarizing the call for internal logging. Include: call date/duration (if available), deal stage assessment, prospect sentiment (positive/neutral/negative), key pain points, objections, budget or timeline signals, and recommended next action for the rep.

    • All required CRM fields are populated
    • Deal stage and sentiment are explicitly stated
    • Next recommended action is specific and actionable
  5. 5

Review both the follow-up email and CRM notes for consistency — ensure the pain points, next steps, and prospect details match across both outputs. Flag any gaps or ambiguities in the transcript that the rep should clarify before sending.

    • Email and CRM notes are consistent with each other
    • Any unclear or missing information is flagged for the rep

Output format

Return two clearly labeled sections: 1) FOLLOW-UP EMAIL — formatted as a ready-to-send email with Subject, Body, and Sign-off. 2) CRM NOTES — formatted as a scannable bulleted log with labeled fields (Call Summary, Pain Points, Objections, Budget/Timeline Signals, Deal Stage, Prospect Sentiment, Next Steps). End with a GAPS & FLAGS section if any transcript ambiguities need rep clarification.
