Meeting to CRM Notes

Convert a customer call transcript into structured CRM notes with summary, next steps, sentiment, and field updates.

Goal

Transform a raw customer call transcript into clean, structured CRM notes including a summary, action items, sentiment analysis, and specific field updates ready to paste into your CRM.

Trigger

After completing a customer call and receiving a transcript or taking raw notes from the conversation.

Steps

  1. 1

Analyze the following customer call transcript: $transcript

    • Transcript is fully pasted and readable
    • Participants and company name are identifiable
  2. 2

Write a 3–5 sentence executive summary of the call covering: the customer's main goal or problem, what was discussed, and any decisions or agreements reached. Use neutral, professional language suitable for a CRM record.

    • Summary captures the core business purpose of the call
    • No filler phrases like 'the call went well'
  3. 3

Extract all next steps and action items mentioned or implied in the transcript. For each item, identify the owner (customer or internal rep), the specific action, and any deadline or timeframe mentioned.

    • Every commitment made on the call is captured
    • Each item has a clear owner assigned
  4. 4

Assess the customer's sentiment across three dimensions: overall tone (positive, neutral, or negative), engagement level (high, medium, or low), and any risk signals such as churn indicators, frustration, or hesitation. Provide a one-sentence justification for each rating.

    • Sentiment is grounded in specific language from the transcript
    • Any risk signals are explicitly flagged
  5. 5

List all CRM fields that should be updated based on this call. Include fields such as deal stage, close date, contract value, product interest, pain points, company size, key stakeholders, and any custom fields implied by the conversation. Format as a field name and the new value to enter.

    • All factual details mentioned are mapped to a CRM field
    • Field values are concrete, not vague
  6. 6

Compile the final CRM note as four clearly labeled sections: Call Summary, Next Steps, Sentiment Analysis, and Fields to Update. Use plain text formatting compatible with standard CRM text fields.

    • All four sections are present and clearly labeled
    • Output is ready to paste directly into a CRM record

Output format

Four labeled sections in plain text: (1) Call Summary — 3–5 sentences; (2) Next Steps — bulleted list with owner and deadline; (3) Sentiment Analysis — three rated dimensions with one-sentence justifications; (4) Fields to Update — list of field name: value pairs.
