Customer Interview Synthesis

Transform raw customer interview notes into structured themes, standout quotes, and actionable decisions for your team.

Goal

Convert raw customer interview notes into a structured synthesis report with key themes, representative quotes, and clear product or business decisions.

Trigger

After completing one or more customer interviews and having raw notes ready to analyze.

Steps

  1. 1

    Ingest the raw interview notes below and identify the respondent context (role, company size, use case) if mentioned: $interview_notes

    • All interview notes are pasted in full
    • Respondent context is noted or marked as unknown
  2. 2

    Extract 3–6 recurring themes from the notes. For each theme, write a one-sentence label and a two-to-three sentence explanation of what customers said and why it matters.

    • Each theme has a concise label
    • Themes are grounded in specific customer language, not assumptions
  3. 3

    Pull 3–5 standout verbatim quotes from the notes that best illustrate the identified themes. Tag each quote with the theme it supports and any relevant respondent attribute.

    • Quotes are verbatim or clearly paraphrased if notes are informal
    • Each quote is linked to at least one theme
  4. 4

    Identify tensions, contradictions, or surprises in the data — moments where customer feedback challenges assumptions or reveals unexpected needs. Summarize each in one to two sentences.

    • At least one tension or surprise is surfaced
    • Contradictions between respondents are noted if present
  5. 5

    Translate the themes and tensions into 3–5 concrete decisions or recommendations. Each decision should state what to do, why (linked to a theme), and who owns it (role, not name).

    • Each decision is actionable, not vague
    • Decisions map back to a specific theme or finding
  6. 6

    Write a 3–5 sentence executive summary that captures the most critical insight, the strongest customer signal, and the single highest-priority recommendation for stakeholders who won't read the full report.

    • Summary is self-contained and jargon-free
    • Highest-priority recommendation is unambiguous

Output format

Structure the response with clearly labeled sections in this order: (1) Respondent Context, (2) Key Themes, (3) Standout Quotes, (4) Tensions & Surprises, (5) Decisions & Recommendations, (6) Executive Summary. Use headers, bullet points for themes and decisions, and blockquote formatting for verbatim quotes.
